WEDDINGS & SPECIAL EVENTS POLICIES

 

BOOKING & RETAINER
A signed agreement and 25% nonrefundable retainer are required to reserve your event date. Your date is not considered officially booked until both have been received. The remaining balance is due 14 days before the event.

SONG SELECTIONS & CUSTOM REQUESTS
Final ceremony song selections must be submitted at least 30 days before the wedding.

Packages that include a custom song allow one selection outside of Sonya’s current repertoire, subject to vocal suitability and the availability of a professional-quality accompaniment track. Custom song requests must be submitted at least 45 days before the wedding.

Additional custom songs may be available for $50 per song.

LIVE VOCALS & ACCOMPANIMENT
All performances feature live vocals by Sonya Miller with professional-quality recorded accompaniment tracks unless otherwise arranged.

WEDDING REHEARSALS
Wedding rehearsal attendance is not included in standard package pricing unless specifically stated. Rehearsal attendance may be added for $125, subject to availability.

ARRIVAL, SETUP & SOUND CHECK
Sonya will arrive with sufficient time to set up and complete a sound check before guests are seated. The client or designated wedding coordinator must provide accurate information regarding venue access, parking, electrical access, performance location, and ceremony timing prior to the event.

CEREMONY DELAYS
Up to 30 minutes of delay beyond the scheduled ceremony start time is included at no additional charge.

Delays extending beyond 30 minutes may incur an additional fee of $50 per additional 30 minutes, subject to Sonya’s availability.

Extended availability cannot be guaranteed if a delay conflicts with another scheduled engagement.

OUTDOOR EVENTS & WEATHER
For outdoor performances, a covered, dry, and safe performance area with appropriate access to electrical power must be provided.

Sonya and her sound equipment cannot perform in rain, excessive moisture, unsafe temperatures, severe weather, or other conditions that may create a safety risk or damage equipment.

If conditions become unsafe, the performance may be relocated to an appropriate protected area or delayed until conditions are safe.

Weather-related relocation, delay, or inability to perform does not automatically qualify for a refund when Sonya has arrived prepared to perform and a safe performance location has not been provided.

SOUND & PERFORMANCE LOCATIONS
Professional sound equipment is included with wedding packages.

Package pricing assumes that the agreed sound setup can reasonably serve the designated performance area. For packages including both ceremony and cocktail-hour entertainment, substantially separate performance locations or locations requiring an additional sound setup may require an additional equipment/setup fee. Any such fee will be discussed and approved before the event.

VENUE REQUIREMENTS
The client is responsible for confirming that the venue permits outside musicians, amplified live vocals, and professional recorded accompaniment tracks, as well as obtaining any necessary permissions from the venue.

CANCELLATIONS & RESCHEDULING
The booking retainer is nonrefundable.

For cancellations made within 30 days of the event, 50% of the total package price will be due.

For cancellations made within 14 days of the event, the full package balance will remain due.

If an event must be rescheduled, payments beyond the nonrefundable retainer may be transferred one time to a new date, subject to Sonya’s availability.

In the unlikely event that Sonya must cancel due to illness, emergency, or circumstances beyond her control, all payments received will be refunded. Reasonable efforts may be made to assist in locating another vocalist when possible, but a replacement cannot be guaranteed.

TRAVEL
Standard package pricing includes travel within the designated service area. Events requiring extended travel may be subject to an additional travel fee, which will always be disclosed before booking.

PHOTOS & VIDEO
With the couple’s permission, professional photographs or brief performance clips from the event may occasionally be shared for promotional purposes. Wedding photographs or video featuring the couple will not be used for promotional purposes without permission.

EVENT COORDINATION
A wedding planner, coordinator, or designated point of contact should be provided before the wedding day when possible. This person will serve as the primary contact for ceremony timing, musical cues, and other event-day logistics so the couple can enjoy their day without worrying about performance coordination.

By reserving a wedding or special event performance with Sonya Miller / SSM Entertainment, the client acknowledges and agrees to these policies.
